Pro Features Integration Guide

  • Introduction

    This guide provides instructions for configuring settings for the new Pro features available in DonorCentral NXT. These features require configuration in either FIMS, DonorCentral NXT, or both.

  • Multi-Payment Recommendations

    Note: This functionality requires configuration in both FIMS and DonorCentral NXT.

    You can configure grant recommendations on your DonorCentral NXT site to include multi-payment recommendations, which enables grant amounts to be divided into multiple payments. Advisors can use this feature to commit a specific amount of money to grant out over a period. For example, an advisor can grant out $100,000 over a 10-year period at $10,000 per year.

    Step 1: Configure in FIMS

    A DonorCentral option is available in the Suggestions section so you can create one grant with multiple payment lines or multiple grants, each with one payment line.

    1. Select Tools, System Utilities, DonorCentral, DonorCentral Options.

    2. In the Suggestions section, choose Multi_Payment_Type.

    3. Choose how you want to create multiple payments:

      • To create multiple lines on one grant, select One Grant.

      • To create multiple grants with one line each, select Multiple Grants.

    4. Select OK.

    Step 2: Configure in DonorCentral NXT

    1. Select Control panel, Site configuration, then select Options.

    2. Under Grant recommendations, select Allow multi-payment recommendations.

    3. Select Apply changes.


    4. Note: When using the multi-payment recommendations option, do not select the Allow donors to recommend and manage recurring recommendations option. It is not recommended to use both recurring and multi-payment at the same time. If you choose both options, be sure to educate your users about the differences between them and when to use each.




    Step 3: Create a suggestion and add multiple payments in DonorCentral NXT

    On the Grant recommendation form, advisors can split the total grant amount over multiple payments and specify the Number of payments and the payment frequency.

    Step 4: Import Suggestion into FIMS and Create Grant Application


    Import DonorCentral NXT Suggestions into FIMS as described in Import into FIMS

    After creating the application, the multi-payment grant that was created in DonorCentral NXT displays in FIMS.

    Note: The Fund IDs in this image example are hidden for privacy.

  • Gift, Pledge, and Grant Letters

    Note: This functionality requires configuration in FIMS only.

    The new Document Module in FIMS enables you to link and upload gift, pledge, and grant payment letters to the related record (or records) in DonorCentral NXT. Once uploaded, these letters display in either the Gift letters tile on the Gift details page -- for gifts and pledges -- or in the Grant letters tile on the Grant details page -- for grants -- so you can easily access the payment letters in DonorCentral NXT.

    Configure in FIMS

    Step 1: Enable document uploads to DonorCentral NXT

    1. Go to Tools, System Utilities, DonorCentral, DonorCentral Options.

    2. In Section, select Services.

    3. In Option, select Upload_Documents.

    4. In Value, select On.

    5. Select OK.



    Step 2: Upload documents to DonorCentral NXT

    Choose one of the following upload options depending on how you want to upload documents to DonorCentral NXT.

    Option A: Generate a document and upload to DonorCentral NXT

    1. Prerequisite: Go to Tools, Update FIMS Macros to get the 14.70 macro additions:

      • SaveAcknowledgementsPDF

      • SaveGrantLetterGrantNumberFolderPDF

      • SaveGrantLetterDonorAdvisorPDF

      Note: Ensure letters are created properly as described in Knowledgebase articles 26482 and 24622.

    2. Open an Export process for a Gift or Grant letter.

      • To open a gift history letter, go to Reports, Gifts, Gift History - Export.

      • To open a grant letter, go to Reports, Grants, Export Grant Information.

    3. Choose the letter by doing one of the following:

      • In the Saved Reports tab, click on a row to select the letter and select Load Selection.

      • Or, in the Send To tab, next to the Auto Launch Document field, click the disk icon to browse to and select the previously-generated letter.

    4. In the Send To tab, select the Run Macro checkbox.

    5. Select Run Report. Results and a confirmation popup display.

    6. Select Create and Upload to DC to add the document to the Document Module and attach it to the associated record in DonorCentral NXT.

    7. Select OK.

    Option B: Add preexisting documents to upload to DonorCentral NXT

    1. Go to View, Documents Module.

    2. Select the Processes tab.

    3. Select an option for either Grant or Gift documents.

    4. Select Run Process.

    5. Specify your selection criteria to identify the documents.

    6. Select OK.

    7. In the Selections tab, select Run Report.

    8. In the report, select Create Document Links.

    9. Select Create and Upload to DC to add the document to the Document Module and attach it to the associated record in DonorCentral NXT.

    10. Select OK.

    Option C: Link and upload documents to related records in DonorCentral NXT

    1. Go to View, Documents Module.

    2. In the data grid, right-click on one or more document rows that you want to upload and select Upload Docs.

    3. Select an Upload Docs option.

    4. Note: You only need to upload a document if a related record (fund, grant, profile, or donation) is also uploaded.

    5. Select OK.

    View Gift, Pledge, and Grant Letters

    In DonorCentral NXT, the list of documents associated with a gift or pledge display in the Gift letters tile on the Gift details page. Documents associated with a grant display in the Grant letters tile on the Grant details page.

    The Uploaded date indicates when the file was uploaded to DonorCentral NXT from FIMS. The Last modified indicates when the file was last saved prior to being uploaded to DonorCentral NXT.

    To view a document, you can download it either by selecting Download file from the document's menu or by selecting the document's name.

  • Configurable Minimum Grant Amount

    Note: This functionality requires configuration in both FIMS and DonorCentral NXT.

    You can configure a global minimum grant amount so that advisors must make grant recommendations for that amount or greater. You can also optionally configure overrides to make exceptions --based on fund type and/or recipient country -- to the global minimum grant amount.

    Step 1: Configure in FIMS

    1. Select Tools, System Utilities, DonorCentral, DonorCentral Options.

    2. In Section, choose System.

    3. In Option, choose Fund_Type.

    4. In Value, choose either Fund_Type or Sub_Type, depending on which FIMS values you want to populate the Fund Type selection in DonorCentral NXT.

    5. Select OK.

    Step 2: Configure in DonorCentral NXT

    1. Select Control panel, Site configuration, then select Options.

    2. Under Grant recommendations, select Require a minimum recommendation amount of, and then enter the minimum dollar amount.

    3. Optional. To create overrides, select Manage overrides, then select New. Choose the Fund type, Country, and Minimum dollar amount, then select Save.

    When advisors make a grant recommendation, if the grant Amount doesn't meet the configured minimum amount, they'll need to modify the amount before they can successfully submit the recommendation.

    When donors make a grant recommendation, if the grant Amount doesn't meet the configured minimum amount, they'll need to follow these steps to successfully submit the recommendation:

    • A message displays briefly in the lower-left corner.
    • The donor must click the Previous button twice to return to the screen to change the grant amount.
    • The donor enters a suggestion that meets the minimum requirements and re-submits.

  • Fund Activity Report

    Note: This functionality requires configuration in both FIMS and DonorCentral NXT.

    The fund activity report enables advisors to view a summary of their fund's current balance, as well as see a balance sheet of all their fund activity -- including debits, credits, transaction types, and more -- over a specified time period.

    The report enables advisors to:

    • View their current balance from an incoming/outgoing balance over time

    • See debits and credits for a time period

    • See the beginning and ending balance for a date filter


    Configure in FIMS

    Step 1

    Configure General Ledger:

    1. Go to Tools, System Utilities, DonorCentral, DonorCentral Options.

    2. Select Services,Export_GL_Drilldowns,Activity Report.

    3. Click OK.

    4. When prompted to refresh DonorCentral Real time Sync Options, choose Yes.





    Step 2

    Accounts and account names are pulled from FIMS and displayed on the Fund Activity Report in DonorCentral NXT. To change an account name in FIMS so that it displays the new name in the Fund Activity Report in DonorCentral NXT:

    1. Go to File Maintenance, General Ledger, Master Chart of Accounts Maintenance.

    2. In the DC Friendly Name column, click the cell of the name that you want to change, and type the account name you want to display.

    The updated name displays on the Fund Activity report in DonorCentral NXT as a category between Beginning balance and Ending balance.

    Configure in DonorCentral NXT


    In DonorCentral NXT, under Control panel, Site configuration, Options, select Enable Activity report for all users under Funds so that advisors can view the fund activity report. If you don't select this option, only administrators have access to view the report.


    After FIMS sends the new General Ledger format, the Fund Activity Report automatically displays on the Activity tab of the Fund Details page. Advisors can view the fund activity based on a selected time period.

    Note: A full DonorCentral export is required for the Activity Report to update in DonorCentral. See Knowledgebase article 101847 for manual export instructions, or Knowledgebase article 190579 for automated instructions.


    In the Report grid, advisors can view all the transactions (debits and credits) for the selected fund(s).
