Shared addresses

To share an address, you must have a relationship with at least one user. You do not need relationships with every user who shares the address.

When a change is made to the address in one user's profile, the shared address is automatically updated in the related profiles.

Households

Existing addresses and new addresses can be marked as households, regardless of whether they are shared with other users. Households can have one or more members.

Schools can designate a contact for each household. This enables schools to rely on household addresses for communication purposes. We also recommend entering a salutation for the household ("Smith Family," or "Smiths," etc.) for use with mail merges.

Students can be the household's primary contact. Students can be members of multiple households, such as for divorced or blended families.
Households can include users with the "other" relationship type, such as nanny.

Tip: We recommend you include your school's definition of "Household" and associated communication guidelines in your "Policies and Procedures" guide.

Add a new address

Select Core.
Select People finder.
In the Type a name field, enter and select the name of the individual you want to work with. The selected individual's profile page appears.
Select Contact Card.
Under Address all existing addresses display. Select Add address.
Select an Address type.
If the user has relationships with other users, their addresses appear first.

Select an existing one to add it to this user. See copy an existing address or share an existing address for details.
To add a new address, select Add new address.

Tip: This option appears after any existing addresses. Scroll down.
Enter the Salutations. These fields may appear on report cards and mailing labels.
- Informal - The informal greeting, such as John and Linda Adams.
- Household - The household greeting, such as The Adams Household.
  
  Tip: Any address can have a household salutation, even if the address is not designated as an official Household for other purposes.
- Formal - The formal greeting, such as Dr. John and Dr. Linda Adams.
Enter the address information.
Use the Region field to group users by location for searching or reporting purposes. For example, neighborhoods within a city or district (such as Back Bay), or regions of the country (such as New England).
To use this address for mailing labels, select Mailing address. To generate mailing labels run a mail merge.
Indicate whether this is the user's Preferred address. This adds a "Preferred address" label next to the address.
Select whether to make the address into a Household.

Then select a Contact for the household.
If your school uses customized fields, select a field that's Admin Viewable Only. Then enter the value for the field.

Select Save.

Copy an existing address

Select Core.
Select People finder.
In the Type a name field, enter and select the name of the individual you want to work with. The selected individual's profile page appears.
Select the Contact Card tab.
In the Address tile, all existing addresses display. Select Add address.
Select an Address type.
If the user has relationships with other users, their addresses appear. Select an existing address to add it to this user.
Determine whether to Keep user separate from others. If so, updates to one user's instance of the address will not affect the other user's instance of the address.

Alternatively, if you select to Include user with others sharing this address, then the address is Shared and updates to other users will affect this user, and vice versa. For shared addresses, you can also create relationships with others at the address and (depending on relationship type) configure parental access, listing, and contract responsibility. See share an existing address for details.
Select Save.

Share an existing address

If a user has a relationship with at least one person at a shared address, they can be added to a shared address too. Users don’t need relationships with everyone at the shared address.

Select Core.
Select People finder.
In the Type a name field, enter and select the name of the individual you want to work with. The selected individual's profile page appears.
Select the Contact Card tab.
In the Address tile, all existing addresses display. Select Add address.
Select an Address type.
If the user has relationships with other users, their addresses appear. Select an existing address to add it to this user.
Determine whether the user should Share the address. If so, select to Include user with others sharing this address. For example, if the user's children live at the same address, select this to share it.

Alternatively, if you keep the address Separate, updates to one user's instance of the address will not affect the other user's instance of the address. See copy an existing address.
If other users already share the address, you can select to Create relationships them.

For each new relationship:
1. Select the Relationship type.
  
  Use the Relationship type called Other for family nannies or relationships that aren't defined.
  
  Tip: Don't see the Relationship type you need? To enable the Other relationship type as an option for Shared addresses, follow the instructions in managing relationship types to mark the type Active.
  
  Tip: To edit existing relationships, return to the Contact card and see Relationships. Remove the existing relationship and then add a new one to replace it.
2. Depending on the Relationship type, you may also indicate that the relationship
  - gives this user Parental access (additional security permissions),
  - that they should List as parent (such as for the school directory),
  - and are Responsible for signing contract (such as for re-enrollment).
  To set defaults for these options, follow the instructions in managing relationship types.
3. Enter any Notes/Comments to describe the relationship or living arrangements. For example, indicate which days a nanny resides with the family vs independently.
Select Save.

Unlink a shared address

From Core, select People finder.
In the Type a name field, enter and select the name of the individual you want to work with. The selected individual's profile page appears.
Select the Contact Card tab.
In the Address tile, all existing addresses display. Select Add address.
Select the Address type.
Locate and select the existing address.
Select Keep me separate from others sharing this address.

If the shared address is updated, this user won't be affected by the updates. This user's instance of the address is treated as a different copy.
Select Save.
