Set Grade Access

Using Grade access, Gradebook Managers can determine if Advisors, All School Advisors, Dorm Supervisors, Parents, Students, and Coaches can view gradebook grades.

Gradebook managers can require that teachers publish their gradebooks, or they can give teachers the ability to decide for themselves if their gradebooks are published

Tip: Teachers can publish/unpublish each class' gradebook from the display options.

The following groups can have access to view students’ gradebook grades:

  • Advisors: this group allows advisors to view their own advisees’ gradebook grades.

  • All School Advisors: this group allows all users with the advisor role to view all students’ gradebook grades.

  • Dorm Supervisors: this group allows all users with the dorm supervisor role to view all students’ gradebook grades.

  • Parents: this group allows parents to view their own children’s gradebook grades.

  • Students: this group allows students to view their own gradebook grades.

  • Coaches: this group allows coaches to view all students' gradebook grades.

Note: Gradebook grades will need to be viewed from the Student's progress page.

In order to establish gradebook access, the following steps must be repeated for each school level and marking period.

  1. From Academics, select Grades > Grading setup > Gradebook settings.

  2. Under Marking periods & grade access, select the appropriate school year and school level.

  3. Select the context menu next to the appropriate marking period > Edit marking period.

  4. For each Grade access group, select one of the following options:

    • No display: the group will not have access to view the gradebooks.

    • Display: teachers will have the ability to decide for themselves (for each section) if their gradebooks are shared with the group.

    • Required : the group will have access to view the gradebooks and teachers cannot unpublish them.

    • Display dates: if "Display" or "Required" is selected, enter the dates during which the group will be able to view the gradebooks. If the fields are not populated, the gradebooks will be published immediately and indefinitely.

  5. When you're finished, select Save & exit.
