Attachments or Media?

While you can save collateral gathered about a constituent or opportunity on the Media tab of the constituent, event, or proposal record in the database view, we recommend you instead manage these files under Attachments on its record in the web view. When you do so:

  • You can open attachments directly in their native applications such as Microsoft Office or Adobe Acrobat.

  • Attachments in the web view upload and open much, much faster than media files in the database view.

  • Attachments live in the cloud — not your database — so you can easily access and manage them across devices.

Note: To enable the ability to attach files to multiple types of records, attachments added in the web view don't appear in the database view.

If you instead manage these files on the Media tab in the database view:

  • It may take up to 60 minutes for media files added in the database view to appear in the web view, and none over 100 MB appear.

    Tip: Need to attach a file over 100 MB? Save it in a cloud storage account such as Dropbox or Google Drive and then attach its link to the constituent's record in the web view!

  • Edits made to media files in the database view — such as to the name, type, or description — don't appear for the corresponding attachments in the web view.

Tip: If a file saved on the Media tab doesn't open correctly under Attachments, verify it looks OK in the database view and then reattach it to the constituent or opportunity's record in the web view.
