Data Decommissioning Resources

This page is for customers that received notification from Blackbaud regarding upcoming decommissioning activity. Please review the frequently asked questions and next steps outlined on this page.

 

General Overview Questions


WHAT DOES IT MEAN TO DECOMMISSION A DATABASE?

Decommissioning a database is a multi-step process taken to delete the information contained in your solution. The first step in this process is to turn off your access to the solution. A few weeks later the production database will be deleted which will result in backup copies of your data beginning to age out. Once the product database is gone, there is nothing to back up.

Please note: Any data involved in the 2020 security incident will be retained in a secure Microsoft Azure encrypted storage account as required by regulatory and legal criteria until we are legally permitted to destroy it.

WHY IS MY SOLUTION BEING DECOMMISSIONED?

We reviewed our policies to be sure we are providing the best-in-class service our customers deserve. Part of this process included a thorough review of the agreements we have with customers to ensure we have a signed agreement for every product a customer uses. As part of this review, we identified your organization as having access to a solution without being on a current signed agreement.

WHAT ACTION MUST I TAKE PRIOR TO MY SOLUTION BEING DECOMMISSIONED?

We will begin the process of decommissioning according to the date outlined in the email you received. No action is needed from you to begin that process. If you want to extract your critical data, please follow the steps outlined in the following section below by product.

IF I WANT TO RETAIN ACCESS TO MY SOLUTION, WHAT ARE MY OPTIONS?

If you would like to continue using the solution(s) we contacted you about, you will need to have a signed agreement prior to your decommissioning date to continue using your solution. Please know, if your organization does not sign the agreement within the decommission timeframe outlined in the email you received from us, we will automatically begin the decommissioning process and you will no longer have access to your solution, or the data contained with it.

If you want to enter into an agreement, send an email to the Customer Success team and include the following information:

  • The subject line should include your organization’s Site ID followed by “Extended {Your Solution (s) name} Contract Request”. If you do not know your organization’s Site ID, include the name of your organization in the subject line.
  • Also include the name and email address of the person who is authorized to sign contracts on your organization’s behalf. (Note: the order form will be sent via EchoSign, our electronic signature program. If you do not receive a message, be sure to check your email’s Spam/Junk folder).
  • If you need a contract for more than one solution, include both solution names in the subject line.
  • If this includes Education Edge, please note this product will not be supported after August 31, 2022.

I HAVE A TEMPORARY CONTRACT ASSOCIATED WITH A SOLUTION THAT WAS TO BE DECOMMISSIONED IN THE FALL OF 2021. WHAT ARE MY NEXT STEPS?

  • If you no longer need information associated with the product to be decommissioned, then no action is needed from your organization.
  • If you would like to continue using the product to be decommissioned and need to get into a longer-term active contract with Blackbaud, please reach out to Your Account Executive before the temporary contract expiration date.

There are a few steps we recommend you take. Those include:

WHICH MODULES MAKE UP BLACKBAUD NETCOMMUNITY? HOW WOULD I KNOW I AM USING BLACKBAUD NETCOMMUNITY?

Blackbaud NetCommunity is a website/content management system solution. As such, you may be using some or all of the following parts:

  • Donations Forms
  • Event Registration Forms
  • Membership Forms
  • Volunteer Forms
  • Online Directory
  • Donor/Alumni/Membership Portal (are there users logging in)
  • Email

If you use Education Edge and Blackbaud NetCommunity together, it could also include:

  • Online Admissions
  • Online Re-Enrollment
  • Online Campus Community

HOW DO I EXTRACT DATA FROM BLACKBAUD ONLINE EXPRESS™?

Transaction data, such as donation amounts, the form used for donations, etc., are exported from Raiser’s Edge after you’ve downloaded your transactions.

WHAT DO I DO SINCE EDUCATION EDGE WILL NO LONGER BE SUPPORTED AFTER AUGUST 31, 2022?

  • We have several resources to help you through this process. Those resources are outlined in the Knowledgebase article linked here.

WHAT IS INCLUDED IN EDUCATION EDGE?

  • Depending on how you use Education Edge, the following modules may be contained within Education Edge (in addition to Student Billing):
    • Admissions Office
    • Registrars Office
    • NetClassroom
    • FAWeb

MY EDUCATION EDGE IS BEING DECOMMISSIONED BUT I ACTIVELY USE FINANCIAL EDGE. WILL THIS IMPACT MY ACCESS TO FINANCIAL EDGE?

If you received an email about decommissioning Education Edge and you also use Financial Edge, your organization will no longer have access to Education Edge; however, we will not delete the data as doing so would prohibit Financial Edge from working as intended. You will not be able to access Education Edge data and we cannot pull the information once your access is turned off. Our engineering teams are working on a way to delete Education Edge data without impacting Financial Edge’s functionality.

Separately, if you use Financial Edge and Student Billing, you will notice differences in your Student Billing database once Education Edge is turned off. If you have questions about this, please contact Blackbaud Customer Support.
