Steps to Take Now to Best Position Your Organization for Automation and AI
You know your data matters, especially as automation and AI become a bigger part of financial management.

When that data is accurate, consistent, and accessible, teams spend less time chasing answers and more time driving impact. Preparing for AI doesn’t require a large technology initiative. In many cases, it’s about strengthening the processes you already have. Start by examining how data enters your systems.
Are naming conventions consistent? Do staff understand what information should be captured and where? Are there required fields that would improve reporting accuracy? Are duplicate records being identified and resolved regularly? Establishing clear data governance practices can eliminate many issues before they become reporting problems.
At the same time, document your current workflows. Mapping how information moves through your organization often reveals surprising inefficiencies. Many finance teams discover they’re performing the same task multiple times simply because their systems aren’t connected, or processes evolved over time without being formally reviewed.
Mapping your process takes time your team doesn’t have. Instead of stopping all work to map out everything you do, choose one high-friction process, such as month-end close, invoice approvals, grant reporting, or budget preparation, and document only the major steps. Focus on answering four questions:

What systems are used?

Where are spreadsheets, duplicate entry, or manual approvals required?
AI tools can help speed up the documentation effort. Consider recording a walkthrough of the process or creating a bullet-point list of the steps and asking an AI assistant to turn it into a draft workflow. You can then review and refine it with the people who perform the work every day.
