Founded in 1907, Polytechnic School is a K–12 independent school in Pasadena, California, and the first nonprofit, independent school in Southern California. At Polytechnic School, technology has long played a foundational role in school operations. As Director of Technology John Yen leads a five‑person team and partners closely with school leadership on both long‑term strategy and day‑to‑day execution. Whether supporting academic initiatives, managing institutional data, or improving operational efficiency, technology touches nearly every part of school life.

That reliability has been especially important as the school navigated decades of system evolution. Early transitions—including the move to electronic report cards—were met with resistance, but those moments shaped a more thoughtful approach to change. Yen distinguishes between transition and transformation, a perspective that continues to guide how Poly introduces new systems and supports its community through change. “Transformative technology comes when organizations not only change the way they do things, but change their mindsets, approaches, and their relationship with their community. It’s not just about what we do, but who we are and become,” said Yen.

At its strongest point of integration, Poly brought its advancement and business offices together on a shared Blackbaud platform. That internal alignment extended outward to families. When systems are synchronized, accuracy becomes the foundation of trust. “Accuracy of information is the thing that matters most in building trust,” Yen said. “The grades have to be right. The address has to be right. If I didn’t want to get an email, I shouldn’t get an email.”
Students and families could rely on a centralized portal experience. Students used the Learning Management System to access assignments, submit work, track progress, and view grades. Parents logged in to review schedules, check athletic calendars, and manage day-to-day logistics tied to the student information system. With information in one place, school life became easier to navigate and expectations were clearer across the community.
Connected systems also reduced administrative burden for staff. By streamlining processes in both Financial Edge NXT and Raiser’s Edge NXT, teams spent less time reconciling data and more time focusing on relationships—engaging with students, connecting with families, and staying present on campus. “Technology can greatly streamline efficiency,” Yen said. “Shifting from administrative tasks to meaningful connections with people fosters relationships and integrates staff more deeply into a school’s culture.”

Supporting Belonging and Looking Ahead
Beyond efficiency, Poly has used technology to foster a stronger sense of belonging, introducing accessibility features for students with dyslexia and ADHD, along with name pronunciation tools that help students feel seen and respected. “The belonging piece comes into play when you have the ability to see your community for who it really is,” Yen shared. “When people feel noticed, it becomes an institution-to-one relationship.”
Looking ahead, Yen sees responsible value in emerging technologies—especially artificial intelligence—when they are grounded in trusted data and used with care. At Poly, he sees AI as a thought partner for complex conversations, a way to automate routine tasks that require no human judgment, and a faster path to meaningful insight across the school’s connected Blackbaud systems. For Yen, that future depends on the same principle that has guided Poly’s technology journey for decades: listen first, lead with empathy, and design systems around the people they serve.
